How Partner Signal handles business contact information: what we collect, why, who we share it with, and how long we keep it.

Partner Signal is a B2B research and matching support service operated by Natsuki Kita, a sole proprietor based in Japan. This notice explains how we handle business contact information in the course of that work. Last updated: 8 November 2026.

Information we collect

  • Company names, business roles, and publicly listed business contact details, such as corporate email addresses published on company websites.
  • Published business information we use in our research, such as distributor recruitment notices, product ranges, and territory coverage.
  • The content of enquiries and replies that companies send to us.
  • Records of our correspondence, including any request not to be contacted again.

Our research uses publicly available business information, including company websites, official announcements, partner directories, and relevant trade publications. We do not purchase or rent contact lists. Public availability does not remove any applicable data-protection obligations.

How we use it

  • To assess whether a manufacturer and a distributor may be a suitable match.
  • To contact companies about a specific potential distribution opportunity.
  • To arrange and keep track of introductions between interested parties.
  • To respond to enquiries and to keep records of introductions and opt-out requests.

Legal basis for processing

Where the GDPR or UK GDPR applies, we generally rely on our legitimate interests in identifying relevant B2B distribution opportunities and sharing relevant business contact information for the purpose of a possible introduction. Where we rely on legitimate interests, we consider the impact on the person’s interests and rights; for business contact details used in this way, the person may object at any time, as explained in Your data protection rights below. Where a person is themselves a party to a contract with us, we may also process their personal data where necessary for the performance of that contract, or to take steps at their request before entering into one.

Sharing with third parties

We do not sell personal or business contact information. Where both parties agree to an introduction, we may share relevant company and business contact details with the specific counterpart to facilitate that introduction. We may also use third-party service providers for email hosting, website hosting, data storage, and research and drafting support. Such providers may process information only as necessary to provide their services and subject to applicable safeguards. We do not disclose information to other third parties except as described above or where required by law.

Some of the service providers mentioned in this section may process personal data outside Japan, including in the United States. Where personal data subject to the GDPR or UK GDPR is transferred internationally, we rely on an applicable adequacy decision, appropriate safeguards such as standard contractual clauses, or another lawful transfer mechanism in accordance with applicable laws. Further information about the safeguards used for transfers in specific situations, and how to obtain a copy of them, is available on request by writing to us at [email protected].

Retention and deletion

We retain correspondence and research records only for as long as necessary to fulfil the purposes described above, taking into account the status of each engagement and any applicable record-keeping requirements. We periodically review retained information and delete or anonymise it when it is no longer needed. Records relating to an opt-out request are kept so that the request can be honoured. If you request the deletion of your information, we will delete or anonymise it where required and applicable, subject to any legal retention obligations. We may retain the minimum information necessary to record an opt-out request and ensure that we do not contact you again.

Your choices

If you do not wish to receive further messages from us, simply reply to any email we send and let us know. We will stop contacting you promptly and will not contact you again about other opportunities. The full procedure is described on our Contact page.

Your data protection rights

Depending on the data-protection laws applicable to you, you may have the right to request access to, correction of, or deletion of your personal information, and to restrict or object to certain processing. Depending on the applicable law and the circumstances, you may also have the right to receive certain personal information in a structured, commonly used and machine-readable format, and to have it transmitted to another controller where applicable.

You have the right to object at any time to the processing of your personal information for direct marketing purposes. If you object, we will stop using your information for that purpose.

You may also have the right to lodge a complaint with the relevant data-protection supervisory authority.
